AccounTech helped the organisation start its Digital Transformation journey in 2018 after years of lacking investment in the right IT and digital solutions. The company was still heavily reliant on old paper-based systems, spreadsheets, and antiquated software.
From the outset, the project was founded upon ambitious objectives, seeking a complete transformation of all systems, procedures, and processes within a four year window.
Wifi
In order to facilitate the digital systems being introduced throughout the homes, Rucus Wifi was installed throughout all floors, rooms, dining areas and corridors. The Guest Wifi service was also introduced for visitors and relatives of residents who want to stream or use FaceTime
HR & LMS
Introduction of new fully integrated HR System, consisting of Recruitment, ATS, Onboarding, HR, and Absence Management modules. With Employee self service portal.
Taking spreadsheet training records and introducing an LMS system that integrates with
Nurse Call
Every residential home has a nurse call system and so many are the old fashioned flashing light and buzzer going off
Risk, Quality & Compliance
One of the most fundamental requirements of the care sector is compliance, around incident, risk and audit management. Coupled with the scheduled maintenance and recorded outcomes of everything from fire alarms, water temps, fridge temps, window openers, beds to infection control, and the recording of Slips, Trips and Falls. All recorded on paper and spreadsheets but migrated onto a comprehensive compliance system that schedules every daily, weekly, monthly and annual task and records the results.
Enquiry CRM
Moving from a paper/email based system to to an online CRM integrated with the website, with full conversion and key metric analysis
E-Rostering/ T&A
Electronic rostering of all staff within the homes, so ensure compliant staffing levels in accordance with staff contracted hours.
Installation of biometric clocking in screens for all staff within the Residential homes, recording actual clocking in/out times against their rostered shifts. All agreed additions and deductions incorporated into payroll automatically.
Electronic Care Planning
Most significant change management project has been in managing the transition of 800+ residents from a handwritten care plan to a digital care plan, and then training 1200+ care staff in using hand-held devices to adopt the new technology.
